CRM and patient follow-up for clinics

We set up a CRM, one system that holds every enquiry and patient, so each enquiry gets a reply and past patients get a nudge to rebook. For clinics in Australia and New Zealand.

What we do

  1. CRM setup

We set up a CRM in your account so every enquiry, call-back and patient sits in one place with a clear status: new, replied, booked, not yet booked. We work in the CRM you have, or help you choose one that fits the size of your clinic.

  2. Enquiry follow-up and speed to reply

Every new enquiry gets an instant acknowledgement that says what happens next, and is assigned to a named person with a reminder if it hasn't been answered. Enquiries that came in by phone, form and email all land in the same list.

  3. Recalls and reactivation

A recall asks a patient to rebook, such as for a follow-up or a check-up. Reactivation reaches patients who haven't been back for a while. We build the lists and the message templates. You decide who is contacted and what goes out, and your team approves it.

  4. Referral systems

We set up a way to record where new patients come from, such as a GP, another clinic or an existing patient. You can see who sends people your way, and a simple thank-you and follow-up goes back to them.

What it looks like in practice

The Friday evening form

An enquiry arrives at 6pm. The patient gets an immediate reply saying it was received and how to book. The enquiry is assigned to the front desk with a reminder set for first thing Monday, so it is the first job of the week, not a message buried in an inbox.

The call that didn't book

A patient phones, asks about prices and hangs up. The call is logged against their name with a note, and a short follow-up goes out afterwards offering a booking link.

The patient who drifted

A patient finished a course of treatment and never came back. A recall list picks out people due to rebook for that service, and the team approves a short message from the clinic asking if they'd like to book in.

The GP who refers

Referrals are tagged by source. At the end of the month the practice manager can see which GPs sent patients and sends each a thank-you.

How working with Opal works

  1. Discovery call

We talk through how enquiries arrive and who handles them now.

  2. Audit

We map what happens to an enquiry from first contact to booking, and what happens to a patient after their last visit, so we can see where people fall through.

  3. Scope of work

We walk you through what we'd set up, in what order and what it costs, quoted from an estimate of the hours involved. Nothing starts until you say go.

  4. Build and hand over

We build the CRM and the follow-up, test it with made-up patients, and train your team to run it.

Frequently asked questions

What is a CRM for a clinic?

A CRM is one system that holds every enquiry and patient. Each record shows who got in touch, what they asked, who owns the follow-up and whether they've booked. For a clinic, that means every enquiry lands in one list and no past patient is forgotten. We set it up in your own account.

We already have practice management software. Do we still need a CRM?

Practice software usually records appointments and clinical notes. A CRM tracks the conversation before and after: the enquiry that hasn't booked, the patient due to come back, the GP who refers. They do different jobs, and we connect them where it makes sense.

How quickly should a clinic reply to a new enquiry?

Quickly enough that the patient hears from you before they try the next clinic. We set up an instant acknowledgement that says what happens next, assign each enquiry to a named person, and add a reminder if it hasn't been answered. Enquiries from every channel land in one list.

What are patient recalls and reactivation?

A recall is a message asking a patient to rebook, such as a follow-up or a check-up. Reactivation reaches patients who haven't been back for a while. We build the lists and message templates in your CRM. You decide who gets contacted and what goes out, and your team approves it first.

Do you hold our patient data?

No. The CRM lives in your own account, and we hand it over to your team. We don't keep copies, exports or screenshots of patient details, and we build and test with made-up patients. You stay in control of your data throughout.

How does a referral system work for a clinic?

It records where new patients come from, such as a GP, another clinic or an existing patient, so you can see who sends people your way. Then it sets up a simple thank-you and a follow-up with the referrer. We build it in your CRM around how referrals reach you now.

What do you need from us to start?

Admin access to your current CRM or the email and form tools we'd connect, a list of the ways enquiries reach you today, and a person on your team who owns replies. For recalls, we need your rules for who to contact, such as treatment type and their last visit. Patient records stay in your systems.

Find out where your enquiries go

Book a call and we'll trace what happens to a new enquiry at your clinic, from first contact to booking.
